Booking Terms

Terms & Conditions – Beach Rugby Tournament specific

The representative or group leader booking a team into Weston Beach Rugby Fest event must be over 18 years of age.

Bookings need to be made via our contacts or booking page that can be accessed on the Weston Beach Rugby Fest website or on Facebook.

After registering for our event, you will receive a confirmation that your booking has been received. Please contact us by email at hello@westonbeachrugbyfest.co.uk if you have not received confirmation of your team’s entry within 72 hours of making your booking.

Team registration is only fully confirmed once full payment has been received.

All reservations are accepted subject to the following conditions of Weston Beach Rugby events:

Cancellation / Liability
By Weston Beach Rugby Fest:
We reserve the right to withdraw at any time any feature as listed in the ‘tournament details’ on our website / Facebook / literature. In the unlikely event that Weston Beach Rugby Fest has cause to postpone an event, then an alternative tournament date will be provided. If the client/you cannot attend the new date then they may transfer their entry to a future tournament.

In the unlikely event that a tournament needs to be cancelled on the day due to unforeseen circumstances and/or adverse weather conditions, Weston Beach Rugby Fest will not be accountable or responsible in this situation and no refunds will be made.

Weston Beach Rugby Fest will always seek to make alternative arrangements to conclude tournaments in the unlikely event that events are cancelled due to unforeseen circumstances and/or adverse weather, but this might not always be possible.

We reserve the right to cancel any tournament/event up to 2 weeks before if the numbers enrolled have not met the minimum requirement. In this case, teams will be offered a transfer to a suitable alternative event.

Please note that all Team Entry deposits are all non-refundable.

Team/Club Cancellation.
If you need to cancel your Team/Club Registration at Weston Beach Rugby Fest event after booking, the individual who made the booking must email hello@westonbeachrugbyfest.co.uk to notify Weston Beach Rugby Fest that the Team/Club is withdrawing from the tournament. Team/Club deposit or entry fees that have been paid will not be refunded to Teams/Clubs who cancel their entry.

Please note that all Team Entry deposits are all non-refundable.

Payments
All payments for Weston Beach Rugby Fest event are to be in the form of our ticketing platform via the website www.westonbeachrugbyfest.co.uk

Insurance
Weston Beach Rugby Fest has insurance taken out for public liability to the value of £5 million.

It is essential that players/teams take out their own accidental injury insurance for any player to player injuries. Weston Beach Rugby Fest will not be held responsible for any injuries sustained in our tournaments, unless there is an act of gross negligence by a member of the Weston Beach Rugby Fest staff.

Acceptance of conditions
When entering and paying for your team’s tournament entry, you are reminded that you have accepted these conditions on behalf of everyone in your group. You are therefore required to abide by all the conditions in this document.

Please contact Weston Beach Rugby Fest before registering if you have any questions regarding the eligibility of your team(s).

All teams will be required to complete a Player Registration Form, which includes the full name and date of birth of each player to be registered for Weston Beach Rugby Fest. The Weston Beach Rugby Fest executive committee will retain a copy of this form in the event that it should be necessary to follow up a query about a player.

Event Disclaimer
Weston Beach Rugby Fest will endeavour to ensure all services, amenities and rugby tournament events are provided with no omissions.

However, we cannot be responsible if any service amenity is not provided or any rugby matches are lost by inclement weather etc.

Weston Beach Rugby Fest accepts no responsibility whatsoever for any loss, damage or theft of any team or individual’s possessions.

All guests are governed by the rules and conditions of all individual establishments involved in the provision of the event of which the booking is associated. In the unlikely circumstances that theft, and other criminal acts, vandalism or violence occur, these will be dealt with immediately by the police and taken out of our hands.

In the event that any damages do occur, these damages shall have to be paid for in full and shall be the responsibility of the team representative or group leader.

We are nor responsible for any unforeseen circumstances that are beyond our control, such as war, civil unrest, terrorist action, riot, industrial action, or any government travel restrictions, any medical pandemic, natural disaster, weather conditions or fire.

Video Footage & Photographs
Video footage and photographs may be taken during tournaments for promotional purposes, photo souvenirs and for our tournament records.

It is assumed that all teams consent for all of their players attending Weston Beach Rugby Fest events to participate in video footage and photographs. If they do not, this will need to be communicated at least 1 week before the tournament takes place.

In the event that a young person cannot be photographed, team managers should write to Weston Beach Rugby Fest to inform us who should be excluded from any photographs and/or filming.

Team Managers will also need to notify Weston Beach Rugby Fest on the day of the event of who cannot be photographed and will be provided with an identification badge/wristband that the young person will need to wear on the day to ensure they are not included in any promotional materials Booking Accommodation.

We act as a referring reseller only where you choose to book any accommodation or transfers through our website. Your booking will be subject to the booking agents own terms and conditions. We accept no responsibility in relation to bookings of accommodation or transfers or other matters ancillary thereto.
